A security and hospitality-staffing company wanted a steady flow of qualified prospects without hiring an SDR team. We built agents that find buyers, write to them, follow up, read every reply and hand genuine interest to the sales team, running unattended every weekday.

The challenge

The company's buyers are event organisers, venues, hotels and property managers, spread across nine US metros and constantly changing as new events are announced. Finding them by hand meant hours of searching, and most of the work ended with a business name and no one to contact.

They needed a system that would keep finding new buyers every night, reach the right person with a relevant message, and never let a real reply slip through the cracks.

What we built

    Discover

    Agents pull upcoming events from ticketing and trade-show sources, and businesses from map data and public licence registers, every night across nine metros.

    Qualify

    An AI fit-check compares each lead with the services the company actually sells, and labels it so the best prospects are worked first.

  3. 03

    Find the contact

    A name becomes a verified email: resolve the official website, check public contact pages, then a contact database for the hard ones, cheapest source first.

  4. 04

    Verify

    Every address is checked before a first email, and each day's send mixes in only a small share of unverifiable addresses.

  5. 05

    Write and send

    A personalised first email for each prospect, sent in four time-zone windows so it lands in the recipient's morning, then follow-ups on a schedule that spaces out over time.

  6. 06

    Read replies

    The inbox is scanned around the clock. Out-of-office and automated replies are recognised and ignored; "I've left the company" replies are caught and the new contact suggested.

  7. 07

    Hand off

    A genuine reply gets an instant acknowledgement with the rate card, and the whole conversation is forwarded to the sales team so they can pick it up immediately.

Results

What we learned

Verification decides deliverability.In one measured batch, addresses the verifier confirmed bounced 0% of the time, while unverifiable ones bounced 17.8%. Shifting the daily mix to 90% verified cut the expected bounce rate from about 9% to under 2%.
Volume, not pacing, triggers mailbox blocks.Smaller batches spaced further apart did not help. Splitting volume across authenticated mailboxes did.
Silent bugs cost more than API bills.One search component was bypassing the shared search path. Fixing it took the number of leads with contact details from about 70 to 2,830.
